TITLE: Bilingual Office Manager (Part-Time)
STATUS: Regular Position
SCHEDULE: 25 hours per week (average 5 hours per day)
COMPENSATION: Salaried plus standard benefits
REPORTS TO: Executive Director
POSITION SUMMARY: The Oregon Latino Health Coalition is dedicated to eliminating health disparities affecting Oregon Latinas and Latinos through collaboration and advocacy. In order to carry out this mission, the Office Manager supports the Executive Director by overseeing day-to-day operations of the administrative offices to ensure that OLHC is supportive of staff and responsive to partners, funders, vendors, and consumers.
DUTIES AND RESPONSIBILITIES:
Receptionist in front office to welcome guests, respond to general questions, answer telephones, direct messages to staff, and handle essential general written and verbal communications.
Oversee operation of administrative functions including office, utilities, equipment, supplies, including vendor interfaces and contracts.
Manage inventory including purchasing of equipment and supplies to ensure that OLHC benefits financially from purchasing options and staff needs are supported.
Schedule space and supports staff, board, and partnership meetings.
Maintain OLHC’s database, which includes partners, stakeholders, and donors.
Oversees essential human resource functions including employee payroll and benefits plan, personnel paperwork, on-boarding, etc. (in collaboration with Executive Director).
Track the reporting schedule for grants and contracts to ensure that deliverables are met.
Work closely with contracted accountant to ensure that financial statements, booking reports are accurate and delivered to Executive Director in a timely manner.
Process invoices, donation reports, receipts, checks, bank statements, etc. needed by contracted accountant.
Support Executive Director as requested.
Education and/or training in the essentials of office administration.
Minimum 2 years’ experience in administrative support functions; nonprofit experience preferred but not required.
Proficiency Bilingual (Spanish and English) verbal, listening and written communication skills, and an ability to build effective relationships with diverse allies and constituents in both languages.
Expertise in the use of current technology and software, including office management platforms that include data base management, financial spreadsheets, Microsoft Office, etc.
Strong written, interpersonal communication skills and ability to work inter-dependently with staff and partners.
Ability to work collaboratively with OLHC team to accomplish our strategic mission and shared vision.
Ability to travel as needed.
Willing to accommodate community-based scheduling needs. (i.e. meetings held in the evening and on weekends off-site)
